BEAM TEST PREPARATIONS
- Discussion about logistics
- Registration is ongoing. Crytur had to first register the institution at DESY and is now in the process of registering the individual members. Carlos has been assembling the names for IJCLab-Orsay and will send them to Douglas soon. There is no restriction on nationalities but a European visa is required
- MIT will send a large crate with experimental equipment to DESY at the end of September. It will stay there for one year under temporary export agreement
- OU and CUA may ship additional equipment separately as the items are relatively small
- Low voltage supplies for SiPMs
- For the two channels on the MIT prototype we assume to use the LV supplies from IJCLab-Orsay.
- Action: check on any connectors needed to match the LV supplies (Larry, Carlos,...)
- Digitizer setup and raw data
- The analysis scripts require CAEN software to decode. It should be free to download.
- Ethan/Douglas might have some example code
- CUA and OU and perhaps others are interested in developing online analysis software
- Discussion about the detailed run plan draft
- Initial draft made by a subset of people suggests that time is tight for four configurations of prototypes - optimizations might be possible. The draft will be refined over the next weeks with additional input
- Need to refine/clarify the goals, e.g., MIT prototype with PMT will do a position resolution scan.
- Need to optimize the plan where possible, e.g., for the MIT prototype with 2 SiPM channels won't need to do a full position scan
- For the 2 SiPM channels one could measure the resolutions as a direct comparison
- In general, need to take into account the beam size when defining the goals. Larger beam size than expected energy resolution makes precision energy resolution measurement difficult.
- Action: circulate draft run plan
NSF PREPROPOSAL
- Discussion about preparations
- The due date is 18 November, but the insitutions' SPO might need the documents two weeks in advance of that. We'll plan for the first week of November for now while people are checking with their institutions
- Many supplementary documents like the CVs etc. are available from last year's submission. However, NSF changed the required formatting, so some work may be required to get these documents ready for this year's submission
- Editing: Renee made an Overleaf of the preproposal narrative so that editing to improve the document for this year's submission can start. Sections/parts that need updating are:
- passages related to the EIC timeline (now EIC has achieved CD3A, which means that for EEEMCAL construction has started) - (Renee, Rosi, Tanja, ...)
- passages related to the readout chain - review comments from the 2023 submission and try to adress (Justin, Joerg, Holly, ...)
- budget: one year of crystals will be purchased by the EIC project (Tanja, All)
- PEP: budget etc. (Julie, Tanja)
- personnel, e.g., FIU personnel will change (All)
- Action: start working on editing and the required documentation
TDR FOR EPIC
- A zeroth order draft is required by the end of September
- Carlos made a copy of the document template and Renee included text from the proposal. This should be sufficient for the zeroth order draft, but it's good to check and edit as needed over the next weeks
OTHER
- Test benches are being setup for crystals
- Test PWO crystals now at UKY, JMU, and CUA for cross calibrations
- Action: send a PWO crystal to ACU
- Test benches are being setup for SiPM testing
- Meeting with NSF on 10 Sept regarding the MSRI proposal resubmission
