DISCUSSION ABOUT STARTUP

  • All institutions have received the subcontract materials from JLab
  • For US institutions seems straightforward - need to fill in the technical sections according to the SOW (already attached in the subcontract)
  • For international instutions processing likely more lengthy due to the required institutional reviews
  • INFN subcontract has already been approved and processed and funds were received
  • Marco B. can check with INFN and possibly provide what needs to be filled in for international institutions
  • Action item: work towards completing the subcontract paperwork and return to JLab for processing

DISCUSSION ABOUT MILESTONES

IJCLAB-ORSAY

  • completed characterization measurements of 5-10 SciGlass blocks and working on the write up
  • will send the blocks on to INFN/Genova for additional test. The blocks will be returned from Genova to JLab mid-September - should arrive at JLab at the end of September

CUA

  • plans for fall 2022 are focused on prototype preparation and testing at JLab HallD
  • two prototypes: 1) SciGlass + PMT readout, 2) PWO + SiPM readout (needs assembly)
  • Prototype beam test timeframe:
  • preparations and initial testing planned for August/September
  • installation and main data taking starting in October

AANL

  • working on construction of a prototype for low-energy tests complementary to those at JLab
  • planning to have one member of the AANL team (Arthur M.) at JLab in the October time frame - could help with prototype data taking

INFN

  • planning to carry out characterization studies of the 5-10 SciGlass blocks in early September
  • one student can travel to JLab in mid-October to get familiar with the prototype, help with assembly and initial tests, and perhaps prepare for SRO testing later in the year. The student could stay at JLab for 2-3 weeks. The student could return for another 2-3 week stay at JLab for data taking with SRO in late 2022 or early 2023
  • Checkpoint in late August to see if it makes sense for the student to come earlier than October
  • Action item: document information about radiation sources and strengths

U. KANSAS

  • planning to carry out irradiation tests at UMD - several sources exist including hadron sources
  • Action item: document information about radiation sources and strengths

START OF DISCUSSION ABOUT OCTOBER REPORT AND NEW PROPOSALS

  • should be straightforward for eRD105 to address the points (a) - (c)

  • Background information on new proposals (email from Patrizia, Elke, Rolf, Thomas from 7.21.2022):
  • Proposals
  • We ask all ongoing projects to prepare the next round of proposal for FY23. They are due October 1, 2022. Same guidelines as for FY22 apply. Please describe milestones, timeline, and budget in detail. Please remember to be inclusive and integrate the interested parties in the community.
  • The projects that were put on hold previously, eRD109 (ASICs/Electronics) and eRD106 and eRD107 (forward calorimetry) should submit their proposals as well, also due October 1, 2022. The organization of eRD109 will need coordination between many subdetectors to account all the needs.
  • The Si consortium also should submit a new proposal for sensor development (ITS3) due October 1, 2022. The project code will be eRD113.
  • These new proposals should be relatively straightforward to write. To first order, we follow the documented plan for the project-supported R&D. The proposals should follow the guidance of the series of meetings we have had with the various eRD groups last Fall and concentrate on detector R&D tasks that mitigate project detector technical, cost or schedule risk. We do inform you early about this new round of proposals so that we can expedite the start of projects that were put on hold before. It eases also the planning for the ongoing projects that continue into FY23.
  • DAC Review Meeting
  • There will be a 2-3 day review meeting in October. The status of all ongoing projects should be presented as well as all FY23 proposal. More details on this meeting will be announced soon.
  • Action items:
  • think about if a new proposal beyond what is planned for FY23 (i.e., after June 2023) is warrented or if all information for SciGlass relevant for Project R&D will be acquired at this point
  • there is also the Generic R&D program that proposals on scintillating glass or crystals could be submitted to to address more general questions, e.g., for Detector-2

NEXT MEETING: TUESDAY AUGUST 30 AT 1:00PM ET
